Technician – CourseLeaf CIM FAQ’s

Steps-to-Take:

1. WHAT IS THE LINK TO ACCESS CIM? There are three separate CIM modules used at CWI. To view and update courses, you should access CIM Courses at https://nextcatalog.cwi.edu/courseadmin/. To view and update programs, you should access CIM Programs at https://nextcatalog.cwi.edu/programadmin/. To request a new subject code, propose a 199 course section, or ask for the addition of a 293 or 296 course record under a specific prefix, you should access CIM Misc Admin at https://nextcatalog.cwi.edu/miscadmin/.

2. HOW DO I LOG IN? All CourseLeaf modules are single sign on, meaning you can use your CWI username and password to login. Please only type your username (do not include @cwi.edu) when logging into any CourseLeaf module. Users should also access CourseLeaf through a Chrome or Firefox browser. If you have followed these instructions and are still having issues, please contact mailto:cimhelp@cwi.edu and provide a description of the problem you are experiencing.

3. WHO CAN INITIATE CHANGES IN CIM? Anyone with a CourseLeaf user account may submit changes in CIM. However, all proposals from nonadministrative users require a workflow that includes the applicable department chair and dean, which ensures no unauthorized changes are made.

4. WHAT IS A WORKFLOW AND WHO CONTROLS IT? Workflows in CIM are used to move proposals through a specific approval path and are controlled by the Coordinator of Curriculum Management in the Registrar's Office. Each step may be made up of specific users or roles that allow users to share a step. There are three distinct workflows used in CIM: (1) Does Not Require CC Notification or Approval, (2) Requires CC Notification, and (3) Requires CC Approval. Users select the appropriate workflow (or proposal type) based on what changes are being made. For additional help to regarding which proposal type to choose, please click on the blue question mark (i.e. Help bubble) located next to this question on the proposal form in CIM Courses and CIM Programs. All proposals are subject to an initial review by the Senior Coordinator of Curriculum Management to ensure the proper workflow and effective year were selected based on the updates submitted. 5. WHAT IS A WORKFLOW ROLE? A workflow role is made up of one or more users and is generally an employee's title or department such as Registrar or Advising. Roles can have multiple members but only one member of the role is necessary to approve a page. Within CIM, the department chair roles are specified using the department code (as listed in Colleague) and the word Chair; for example, the role for the department chair of Integrated Studies is labeled INTST Chair. The dean roles are set up similarly using the school code (as listed in Colleague) and the word Dean; for example, the dean of School of Math and Science is labeled as STEM Dean. Each subject code and program are tied to a department and school, which drives the workflow and sends the proposals to the appropriate users for approval.

6. I NEED TO ADD, REMOVE, OR OTHERWISE UPDATE THE MEMBER(S) OF A WORKFLOW ROLE; HOW DO I DO THAT? Contact cimhelp@cwi.edu for assistance with updating role members. COURSELEAF CAT FAQS_ CREATED 12/17/2021

7. THERE ARE MULTIPLE MEMBERS OF MY CIM WORKFLOW ROLE. ONE OF THEM APPROVED THE PROPOSAL BEFORE I HAD COMPLETED MY REVIEW. WHAT DO I DO? Contact cimhelp@cwi.edu and request that the proposal be rolled back to your step of workflow for further review and updates.

8. I'M TRYING TO CREATE A NEW COURSE BUT THE PREFIX I WANT TO USE IT NOT LISTED. HOW CAN I GET IT ADDED TO THE DROP-DOWN LIST? To request a new subject code in CIM Courses, users should go to CIM Misc Admin at https://nextcatalog.cwi.edu/miscadmin/. Click the green "Propose New Miscellaneous" button, select "New Subject Code Request" under Request Type, and provide the requested information. The proposal will then be sent to the Senior Coordinator of Curriculum Management; you will be notified once the new subject code has been added to CIM Courses.

9. WHEN ARE CURRICULUM CHANGES DUE FOR THE UPCOMING CATALOG? Changes to existing courses and programs must be submitted for approval according to submission deadlines for the February Curriculum Committee meeting the same year as planned implementation. New programs should be brought to the Curriculum Committee in the spring semester of the year prior to planned implementation. 10. I NEED TO UPDATE THE DEGREE/CERTIFICATE REQUIREMENTS AND/OR PLAN OF STUDY GUIDE FOR AN EXISTING PROGRAM. HOW DO I DO THAT? Updating the tables used for Degree/Certificate Requirements and the Plan of Study sections in CIM Programs can get complicated. In order to maintain the standard formatting used in these tables, the best thing to do is reach out to cimhelp@cwi.edu if you're unsure of how to make updates. Please describe the change(s) needed and the Senior Coordinator of Curriculum Management will assist with updating the tables.

11. WHERE CAN I FIND THE REQUIRED ATTACHMENT FORMS FOR A NEW PROGRAM? Curriculum forms are available on myCWI, either through Instruction's Curriculum Resources page or the CourseLeaf User Group page.

12. I NEED TO MAKE ANOTHER CHANGE TO A COURSE THAT'S ALREADY IN WORKFLOW. HOW CAN I EDIT IT? Course updates cannot be made in Colleague until after spring registration closes at the end of January each year. If a user already submitted a change to a particular course for the upcoming catalog year, it will likely be waiting in the Colleague step of workflow for a period of time. If you see it is at the Colleague workflow step and need to make another update for the upcoming catalog year, simply contact cimhelp@cwi.edu and request that the course be rolled back so you can make additional change
