Summary

These are the steps to set up a multifactor authentication method to an Outlook account. Usually, this KBA will be used when accessing this account for the first time or after it was reset.

Purpose

The purpose of this guide is to walk users through setting up the CWI account and setting up multi-factor authentication (MFA) when accessing their account for the first time. This process is essential for securing account access and must be completed for access to myCWI, Canvas, your student or employee email, Microsoft 365 apps, and other college systems.

Process

Step 1: Access Outlook

  1. Go to cwi.edu on your computer (laptop, desktop, or tablet).

    • The device you sign in on must be separate from your mobile phone.

From the Log In drop down menu on the top right, select Email.

  1. When prompted, enter your CWI email address and password provided in your official acceptance or hiring email, then click Next

    • Email:

      • Students: username@my.cwi.edu

      • Employees: username@cwi.edu

    • If this is your first time logging in, you will use a temporary password. This password is constructed using:

      • First letter of your first name, capitalized.

      • First letter of your last name, capitalized.

      • The word, logon.

      • Last four digits of your social security number.

        • If you have not provided your social security number to the College or do not have one, please use the last four digits of your student ID. 

      • Examples: 

        • Name: John Smith
          SSN: 123-45-6789
          Temporary password: JSlogon6789

        • Name: John Smith
          Student ID: 987654
          Temporary password: JSlogon7654

Step 2: Set Up Multi-Factor Authentication (MFA)

  1. Once you are signed in, you will be prompted for more information.

  2. You will be required to set up two (2) forms of MFA.

    • The Authenticator App paired with a phone number are the recommended MFA options.

Method 1: Microsoft Authenticator App (recommended)

1. Click Next to continue with Microsoft’s default method using the Microsoft Authenticator app.

2. Download the Microsoft Authenticator app from the App Store or Google Play on your mobile device.

3. After installing the app, click Next.

4. A QR code will appear on your computer screen.

  • Do not scan with the camera on your mobile device.

  • Instead, open the Microsoft Authenticator app on your mobile device, tap the QR code icon in the bottom right, and scan the QR code showing on your computer screen.

5. You will receive a notification on your mobile device prompting you to enter a number.

6. Enter the number showing on your computer screen onto your mobile device.Uploaded Image (Thumbnail)

 

7. After entering the code, you will receive a confirmation message.

8. You will be asked if you want to stay signed in. This is optional.

Method 2: Phone Number (recommended)

1. When prompted to use the Microsoft Authenticator App, select I want to set up a different method

2. Select Phone as the method you would like to use.

3. Enter the phone number where you would like to receive a text or call.

4. Enter the verification code sent to that phone number.

5. Upon successful entry, you will be congratulated and asked whether to stay signed in.
