Everyone - Microsoft Bookings Showing Incorrect Time Zone

Purpose

This article explains why Microsoft Bookings may show appointments in Pacific Time instead of Mountain Time and provides steps to correct the issue. This commonly occurs when a user’s Outlook “Meeting Hours Time Zone” does not match their display time zone.

Process

 

Background

Some users may notice that when scheduling or receiving Microsoft Bookings appointments, the meeting time appears in Pacific Time (PST) even though their account and device are set to Mountain Time (MST).

This occurs because Microsoft 365 uses a separate “Meeting Hours Time Zone” setting in Outlook. If this setting was previously configured to a different time zone and the update was not confirmed, Microsoft Bookings will default to that time zone. This issue commonly occurs when a user has previously changed time zones or when Outlook settings were not updated after an account was created.

 

Resolving in Outlook Web

Follow the steps below to update the Meeting Hours Time Zone:

1. Open a web browser and go to https://outlook.office.com

2. Sign in with your CWI email account.

3. Select the Settings (gear icon) in the top right corner.

4. Select Calendar from the left menu.

5. Select View.

6. Scroll down to the Time zones section.

7. Confirm that:

“Display my calendar in time zone” is set to (UTC-07:00) Mountain Time (US & Canada)

8. If you see a message stating:

“Your meeting hours time zone is set to (UTC-08:00) Pacific Time (US & Canada). Do you want to update it to (UTC-07:00) Mountain Time (US & Canada)?”

9. Select Yes, update.

10. Close Settings.

After completing these steps, Microsoft Bookings will use the correct Mountain Time setting.

 

Important Notes

  • Updating Windows device time zone alone will NOT correct this issue.

  • Updating the “Language & Time” setting alone may NOT correct this issue.

  • The Meeting Hours Time Zone must be confirmed in the Calendar View settings.

  • Users only need to complete this process once.

 

Optional: Selecting Time Zone When Booking (Temporary Workaround)

*Note: When creating a Microsoft Bookings appointment, you can manually change the time zone in the booking form if needed. However, updating Outlook settings as outlined above will permanently correct the default time zone.

1. When you are on the booking page (as shown below) click on the globe icon.

2. When you do, it will open a side menu with available time zones.

3. Scroll through the side menu until you find (UTC-07:00) Mountain Time (US & Canada), or select another time zone if needed.

*Note: If you pick a different time zone other than (UTC-07:00) Mountain Time (US & Canada) you may not be able to pick the correct time you want on the day you want. Available meeting times will adjust automatically based on the selected time zone.

4. After selecting (UTC-07:00) Mountain Time (US & Canada), the available meeting times will update automatically based on the selected time zone.

*Note: If you want to verify the selected time zone, click the globe icon. The currently selected time zone will appear at the top in blue.

*Note: Your color may be different.

5. You should now be able to select a date and time that is available for your meeting.

  • The “Yes, update” option does not appear.

  • You are unable to access Outlook Web settings.
