Steps-to-Take:
An encrypted email is a secure message that requires a one-time passcode to open. This ensures that only the intended recipients may view the email in the situation where sensitive information is involved.
For the Sender:
- Open Outlook, either in a compatible web browser or the outlook application.
- Enter the recipient’s name in the “To” category.
- You can send an encrypted email to anyone, even non-Microsoft email accounts.
- In order to send an encrypted email, you must put the word ‘secure’ within the subject line (case sensitivity does not matter).
For the Receiver:
1. The recipient will receive the encrypted email as an html attachment.
2. On the recipient’s end, the sent secure email will read “You've received an encrypted message from johnsmith@cwi.edu. To view your message, save and open the attachment (message.html), and follow the instructions. Sign in using the following email address: johnsmith@cwi.edu.
3. Upon opening the attachment via a browser, the recipient is given the option to view the attachment either by receiving a one-time passcode to open the encrypted email or by signing in with a Microsoft account (can be a personal email address like Outlook.com or an Office 365 address) or clicking on “Use a one-time passcode” which will send a passcode to the recipient’s email account. Typically, the passcode is sent to the same email account the original encrypted email was sent to. It does not matter which way you choose to receive the passcode.
