Name Change Process Information

Steps That Are Taken:

  1.  Student submits the Name Change Form to the Registrar's office.
  2.  The Assistant Director, Admissions & One Stop (Piper Skoglund) is responsible for the name change request process.
    • NOTE: If the Assistant Director is out, the responsibility go to another employee in the Registrar's office

 

  1. They compile the name change requests throughout the week and create one ticket in the Help Desk system
  2. The ticket is then sent the the System Engineer (Bryan Slater)
  3. The System Engineer changes the students' names in AD
  4. The ticket is than sent to the MyCWI Admin (Shannon Grimsley)
  5. The MyCWI Admin verifies that all names are updated in MyCWI

 

  • The student receives Two Emails from The Assistant Director during their name change process:
    • Email 1:
      • "Thanks for turning in your Name Change form with documentation. Name changes can take up to two weeks to be completely processed. Your student account will now reflect your new name, but your username and email can take an additional 5-7 business days for processing. Please watch for a follow up email regarding the completion of the Name Change process."

 

  • Email 2:
    • Your name change has been fully processed by the CWI Helpdesk department. Your username and password should now reflect the new name on your account. When using your new username for the first time please log in to your MyCWI account using the new username and the existing password (new firstname + new last name with no caps and no spaces). On occasion your new username or email can be followed by a number if there are other students with the same name. Please refer to the email address that this email is sent to if you think your email may be followed by a number. You are not required to reset your password at this time. If you have trouble logging into your account using your new username, please reach out to our helpdesk by phone at 208-562-3444 or by email at helpdesk@cwi.edu. NOTE: Your current instructors are not notified when a name change is processed. Please reach out to each of your instructors and let them know that your name has been changed

 

  • The name change form does state that “A Name Change or Correction” affects a student’s e-mail account Information
    1. Therefore, I.T. will place a 30-day deletion hold on the previous student email account. This will give students time to forward or print existing e-mail from the previous account.
  • The name change is performed on the existing account. This mean all their previous emails and saved One drive files are retained in their existing account and can be accessed as they normally would.
    • NOTE: The client may need to contact the Help Desk (208-562-3444) after the change is made if they are having issues getting into their account
