Everyone – New Student Employee: What You Need to Know

Purpose

The purpose of this document is to help new student employees understand their CWI accounts, how to log in, where to access classes and files, and what changes occur when employment or enrollment starts and ends.

Process

 

1. You will now have two CWI accounts

  • Employee account ending in: @cwi.edu  

  • Student account ending in: 100@my.cwi.edu

You will use your @cwi.edu account to log in to most CWI services.

 

2. Logging in to CWI services

Use your @cwi.edu account to access:

  • Email

  • Canvas

  • Microsoft Office apps

  • Other CWI systems (such as your MyCWI and Self Service)

Your classes will still appear when logged in with your employee account.

If something does not load correctly (such as Canvas), make sure you are signed in with your @cwi.edu account and not your 100 student account.

 

3. Passwords and MFA

  • You must change your employee password before logging in

  • You will be prompted to set up Multi-Factor Authentication (MFA)

  • Your employee password expires every 90 days

  • Your student (100) password is separate and does not change automatically

Manage passwords and recovery at: logonhelp.cwi.edu

 

4. OneDrive and files

  • Use OneDrive with your @cwi.edu account while employed

  • To access older student files, sign in using your 100 account

  • Files in your employee OneDrive will not be accessible once the account is disabled.

  • If files were not moved before your last day, you may need to submit an IT support ticket for assistance.

Download important files before your employment ends.

 

5. When employment or enrollment ends

  • If you stop being a student employee:

    • Your @cwi.edu account will be disabled

    • Your student email will return to username@my.cwi.edu (no longer includes 100 suffix)

    • Access to employee email and OneDrive ends

  • If you graduate (and are not attending CWI):

    • Student email and OneDrive remain available for 4 semesters

    • Your employee account will be disabled

Always save important files before accounts are disabled.

 

6. Pay and tax information

Depending on timing, you may need to submit an IT support ticket to temporarily access items such as W-2s after your account is disabled. 

If you are unsure which account to use or lose access unexpectedly, submit an IT support ticket for assistance.
