Note: There is a difference in the process depending on whether the new employee does or does not have an existing Colleague or AD account as a student, former student, or former employee
Steps-to-Take for New Employee:
- No previous AD account AND they were never a CWI student
- A new Colleague record will be created.
- A new AD record will be created within 24 hours of the new Colleague record entered and created
Steps-to-Take for New Employee, BUT They Have an Existing Colleague & AD Record (Student, former student, former employee)
- NOTE: For the addition of a new employee AD account with an existing account, this now becomes a MANUAL PROCESS.
- To find if a new employee falls into this category:
- Sys Admins: Will monitor the "New Employee Setup" and "New Employee Notification" Emails.
- Every new employee gets a "New Employee Setup" Email generated by Colleague.
- Sys Admins: The day after the "New Employee Setup" Email is sent, check if a new account was created for them in the "New Employee Notification" Email
- If a new employee doesn't show up on the "New Employee Notification" email, the Sys admins will then investigate why.
- Sys Admins: At this time, they will manually launch a script to create their 100 and employee accounts, OR they will manually re-enable their old employee account.
- This is usually done on a daily basis BUT has been done once to twice a week if the Sys Admins are missing staff.
HD Techs:
- The intention of the Sys Admin team is to eventually automate this part of the process but for the time being, for the HD Techs and TSS’s:
- If you hear of someone who is still waiting for an employee account:
- Please IM Bryan Slater and or Kevin Eggleston, they will get to creating the account ASAP.
- Create a ticket for your own tracking but there is no need to escalate the ticket to the Sys Admins as creating the account is just part of their regular routine.
