Everyone - New Student Employee Email Setup

Purpose

The purpose of this document is to provide students, instructors and staff information pertaining to new work-study student accounts.  These accounts are treated essentially as employee accounts.

Process

 

Email Notification

When the account is created, the employee as well as the supervisor will receive the following automated email:

 

New Employee Account

Name

Username

Email

Department

Supervisor

 

 

 

 

Student Account Changes

Name

New Username

New Email

 

 

***The student account password has not changed***

New employees must change their password before they can log in

  • Visit logonhelp.cwi.edu or log in to any CWI-owned computer on campus and follow the prompts.

 

The initial password for new employees is **logon###

  • ** is the capitalized first and last initial.
  • #### is the last four of the employees SSN or last four of Colleague ID if no SSN was provided.
  • Example: JSlogon1234 is the password for John Smith, XXX-XX-1234.

 

Password requirements:

  • Must not contain first or last name.
  • Must be at least 8 characters in length.
  • Users can change their password only once within 24 hours.
  • Users must have 24 unique passwords before they may reuse an old password.
  • Must contain at least one character from at least three of the following four character sets:
    • Lower-case letters
    • Upper-case letters
    • Numbers
    • Symbols such as ! @ # $ % ^ & *

**NOTE** It is highly recommended the supervisor for the new work-study student contact the student directly to inform them of the new account creation. 

 

Account Access

Once the employee account is created,  ALL login access to CWI applications, Office applications, Canvas, etc., will be through the account associated with the @cwi.edu domain.  

All courses the student was enrolled in (and currently published) will be visible under the employee account.  If the student is receiving errors when logging into Canvas, confirm they are using their new employee account. 

The student account will only have access to email and OneDrive. Ensure the student is aware the '100' was added as a suffix to their student account username when attempting to log into O365.  

If the new work-study student employee needs access to their student OneDrive, have them login to OneDrive using their '100' student account and all documents will still be available. If they are having any issues, have the student submit a ticket here: Service - Microsoft Office 365

Starting 2/16/26 all faculty, staff and students will be required to setup a second form of MFA. Instructions can be found here: Article - Everyone - Setting up MFA f....
